Travel Accommodations
Traveling staff should secure their accommodation as soon as possible. All air travel, hotel bookings, and ticket requests must be submitted by Friday, December 20th.
Flights
- Booking Platform: All flights must be booked via the Concur platform to minimize airline booking fees.
- Approved Travel Dates: Your approved dates can be found here. Any extended stay beyond the approved dates will be considered a personal expense.
- Billing References: Use the following details unless otherwise indicated on the traveling staff sheet:
- Business Purpose: Indicate all reasons for attending the Winter Meeting.
- Project Name: Winter Meeting
- Company Code: NBPA, NBPI, NGBPA, Foundation
- Department Name: Events
- Payment Method: Individual Corporate Amex or Department VISA
For travel funded by your department budget, connect with your leaders to confirm the appropriate billing codes.
Please note when four (4) or more employees are traveling to a meeting or an event, even if from different starting points, travel shall be in economy class, even if the published flight distance is in excess of 1,500 miles (e.g., travel by the majority of the NBPA staff to the NBPA Annual Summer Meeting or All-Star Weekend). Exceptions to this cap on first class travel may be authorized only by the Executive Director.
Transportation
Transportation to and from the airport in both your home and destination city should be booked using Uber, Lyft, or Elite car service (only if Uber or Lyft is unavailable).
A shuttle will be provided during for in market events. A list of events and times of when the shuttle will be available will follow soon.
